Notion vs Spreadsheets for a One-Person Business

The short answer

Stay on spreadsheets if your business is one service, under about ten active clients, and you are the only person who will ever open the file. A spreadsheet is faster to build, works offline, and nobody has to learn anything.

Move to Notion when you find yourself keeping the context somewhere else — client notes in your phone, invoices in a folder, project status in your head. That split is what a database-backed workspace fixes and a spreadsheet cannot.

Where spreadsheets genuinely win

Math. Anything involving formulas across many rows — pricing models, cash-flow projections, margin analysis — is still better in Sheets or Excel. Notion databases can do arithmetic but they are not a calculation engine.

Speed of setup. A working expense tracker in Sheets takes fifteen minutes. Do not buy software to avoid fifteen minutes of work.

Portability. A CSV outlives every tool you will use. If a vendor disappearing would end your business, keep the source of truth in a file you own.

Where spreadsheets quietly fail solo businesses

One row per client stops working the moment a client has history — three projects, nine emails, two invoices, a contract, and a note about what they hated last time. Spreadsheets flatten that into columns you stop filling in.

They have no front door. There is no "today" view in a spreadsheet, so you open it, remember what you were doing, and close it. A workspace with a dashboard answers "what do I do now" without you reconstructing it each morning.

They do not survive handoff. The first contractor, VA, or partner you bring in cannot read a spreadsheet built inside your own head.

The switching cost nobody mentions

Migrating is not the expensive part — rebuilding your habits is. Budget a weekend, move one area at a time (clients first, money second, everything else later), and keep the spreadsheet read-only for a month rather than deleting it.

If you cannot name the specific thing that is currently falling through the cracks, do not switch yet. "Being more organised" is not a reason; "I forgot to invoice two clients last quarter" is.
